5 Tips to the perfect Pre-Ceremony

The sun is shining, and your guests are arriving, eager to celebrate your special day. Like many couples, you likely want to create a magical experience for your guests from the moment they arrive at the wedding venue. But who considers the pre-ceremony? It's often overlooked, yet it plays a crucial role in setting the tone for the rest of your special day.

A well-thought-out pre-ceremony can build excitement and anticipation as guests wait for you to say, "I do." Here are five tips to help you nail the perfect pre-ceremony experience.

1. Perfecting the timing
The timing is everything for organising and setting up your pre-ceremony with ramifications that can affect the rest of your wedding's timings. Deciding when to ask guests to arrive and when to invite them to take their seats is essential.

In our experience, the best timing would be to invite guests to arrive 30 minutes before the ceremony, giving them time to mingle and get excited about the upcoming nuptials, while giving buffer time for those family and friends who tend to run late.

Depending on the weather and ceremony location, inviting guests to be seated 5 minutes before the ceremony is best. It ensures guests aren't seated for extended periods, especially on a hot, sunny day.

Getting this timing right keeps things running smoothly and sets the tone for a seamless, stress-free day. This is achieved with a schedule, which ensures guests are ready and present before the ceremony begins while setting your reception up to run on time.

2. To Serve or Not to Serve Alcohol
That is the question. A question and decision that is entirely up to you, and what your priorities are for your wedding day, but there are a few things to consider:

- Drinks on Arrival: Offering wine or bubbles as guests arrive is a fantastic way to kickstart the celebration. Your guests will have a single glass, sip away and socialise, building excitement for the ceremony.

- Cash Bar: Another option is to have a cash bar available, letting guests purchase a drink before the ceremony. This puts the choice in your guests' hands, and those who

particularly feel parched will have a beverage while most guests will wait for the reception.

- No Alcohol: Many couples opt to keep alcohol for the reception only, which simplifies logistics and avoids early overindulgence. While there are no alcoholic beverages to enjoy, there will always be juice and water for your guests to stay hydrated.

One small tip for those opting for pre-ceremony drinks is to consider whether guests can bring them to the ceremony. Is it an issue for you if guests have beer bottles or wine glasses appearing in your photos? If so, asking guests to finish their beverages before taking their seats is a fantastic way to get the best of both worlds.

3. Setting the Stage: Pre-Ceremony Setup
What does the pre-ceremony setup look like? While your venue will have great insight into this, there are a few things to bring up during planning that set the mood the moment the guests arrive at the venue:

• Welcome signs specific to you and your spouse-to-be

• Juice and water station to allow your guests to stay hydrated

• Sunscreen and insect repellent (especially for outdoor ceremonies)

• Umbrellas on standby for when the weather appears unpredictable

• Gift table & wishing well for guests to drop off the moment they arrive

• Signing book for your guests to write you their best wishes

These thoughtful touches will help your guests feel comfortable and excited, setting the mood for the ceremony and celebrations to come.

4. Crafting the Perfect Atmosphere
The pre-ceremony is a great opportunity to set the tone for the rest of the day. Here's how you can create a calm yet celebratory atmosphere:

Prepare a 30–45-minute playlist of uplifting love songs. This should be nice calming music, think a mix of romantic ballads and instrumental pieces that set a calm yet celebratory mood.

If practical, have the groom, or other wedding party members mingle with guests as they arrive. This not only makes everyone feel welcomed but builds a loving family centric atmosphere as the excitement grows.

5. Staying Hidden Until the Aisle
For brides (or grooms) who want to keep their grand entrance a surprise, staying hidden ensured your grand entrance feels even more magical—an unforgettable moment for both you and your guests. Depending on your venue layout, this can be challenging; however, there are ways to make it work:

• Discuss with the venue staff where the bridal car will park and the best route to the ceremony location or bridal room to avoid being seen.

• If you need to pass through areas where guests might see you, ask the venue team to assist with a creative cover-up—like using tablecloths or curtains as makeshift dividers.

This helps ensure your big moment down the aisle will have maximum impact as your partner and guests see you for the first time.

By carefully planning your pre-ceremony, you'll create a magical atmosphere that will excite your guests and ensure your wedding day begins with joy and anticipation. Start planning these special moments now and set the perfect tone for the unforgettable day ahead!
